Job Title: Administrative Assistant Transportation

Reports To: Director of Transportation
Summary
Provides the clerical and record keeping support needed by the administration to implement, evaluate, administer and supervise the total Transportation program.
Essential Duties and Responsibilities include the following.
- Respond to inquiries, complaints, and other student transportation matters and provide information concerning bus routes, policies, procedures, standards, rules and regulations.
- Establish and maintain cooperative relationships with those contacted in the course of work and assist drivers and aides, and substitutes with questions and/or problems.
- Compile employee time sheets, maintain Certificate of Absences for transportation division employees, and prepare/submit monthly reports for the Payroll Department.
- Serve as backup in scheduling field trips and extracurricular activities, including obtaining accurate directions/maps from various sources, and preparing/submitting field trip monthly reports.
- Assists with preparation and submission of insurance reports and all dispatch reports related to assignment required by state authorities.
- Maintain current DMV files and physicals for division CDL holders and other drivers.
- Operate computer and other office equipment.
- Maintain high level of confidentiality in dealing with: student information and records; driver and substitute driver DMV records; and employee payroll and evaluation records.
- Perform all other duties assigned that are essential to the smooth operation and efficiency of the assigned programs.
- Maintain record for DOT Federal Drug Testing program and schedule on-site testing.
- Serve as a liaison to the Department of Motor Vehicles.
- Serve as a substitute driver or dispatcher when needed.
- Perform any other duties that may be assigned by the Superintendent, or designee.
Qualifications
Must have the qualities and personal characteristics necessary for working effectively with teachers, students, parents, administrators, and transportation personnel. Must be skilled in the use of essential office practices, procedures and equipment. Must have proficient computer skills, be highly organized, be able to meet deadlines, multi-task, and work under pressure. Must be able to read a map and/or have knowledge of Powhatan County. Must be able to read and comprehend federal regulations and requirements.
Education and/or Experience:
Transportation Duties - High school diploma or equivalent required; combination of education and experience in general office procedures preferred.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals and federal and state regulations and guidelines. Ability to write routine reports and correspondence. Ability to speak and communicate effectively with all stakeholders.
Reasoning/Other Abilities
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Physical Demands
While performing the duties of this job, the employee is frequently required to stand and talk or hear. The employee is occasionally required to walk; sit; and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
Work Environment
Work involves exposure to normal everyday hazards. Work is performed in an office and is subject to deadlines and frequent interruptions.

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
